Credit Notes
With the Winkel Factuur credit note module, you resolve returns, corrections, and customer service adjustments without spreadsheets or loose email threads. The system works on top of the same reliable infrastructure as the invoice module and guarantees that every action is conclusive for bol.com, Amazon, Shopify, and WooCommerce, including VAT corrections and audit logs that comply with European regulations.
Why a specialized credit note module
Returns are rarely a standard process. Customers return packages from different countries, marketplace fees change, and finance must demonstrate that the VAT correction exactly matches the original invoice. Winkel Factuur combines this puzzle into a clear workflow. Every credit invoice gets its own UUID, automatically refers to the source invoice, and is provided with the correct amounts, discount rules, and currencies. This keeps both your customer communication and your administration coherent.
Because the module is integrated with the order and invoice services, you don't have to manually search for which items have been returned. The return status is read from the marketplace webhooks, after which the credit note is ready for approval or direct sending. From customer service, you view the file in one screen; finance can zoom in on amounts, take stock mutations into account, and report without data diverging.
Optimally usable per platform
Bol.com sellers benefit from real-time webhook processing: as soon as a return is approved, Winkel Factuur generates the credit note and uploads the document to the customer portal. At the same time, stock and sales reports are updated. For Amazon Seller Central, the module recalculates the marketplace fee and commissions, so the net return amount is correct for your settlement reports and accounting.
Shopify returns often require customization in communication. Winkel Factuur therefore lets you set your own emails and languages per brand. WooCommerce shops avoid fragmented plugins with this module; the credit note is centrally managed, stored in S3, and shared with Exact Online, AFAS, or Twinfield. This creates a uniform approach for all marketplaces without teams having to learn a different tool per channel.
European standards and impact for finance
The credit note module automatically applies the correct VAT and OSS rules, regardless of the country of shipment or the customer location. Domestic returns get their own rate, while intra-Community sales immediately check if the customer VAT number is validated in VIES. The audit log registers who created, modified, or canceled a credit note, including reason. That makes checks by accountants or regulators considerably simpler.
Reports show which products or countries have the highest return ratio and how much VAT you reclaim. By combining the data with the analytics module, you see the impact on margin, stock, and customer satisfaction. Finance teams forward the information as UBL, CSV, or XML to their ERP or BI environment and thus keep a grip on cash flow and compliance.
For auditors, detailed reports are available in which credit notes are shown next to the original invoices, including timestamp and responsible user. This eliminates loose spreadsheets and speeds up your year-end closing.
